Overview
See your current plan, manage seats, review your monthly AI usage, and open the billing portal to update card or bank details.
Before you start
MFA must be set up on your account — Manage Plan and Manage Billing are MFA-gated. See Set Up MFA on Your Account.
Steps
- Open Business Settings → Subscription tab.
- Review the plan type, billing interval, next renewal date, and seat count.
- Select Manage Plan to upgrade, downgrade, or change the seat count. Complete the MFA prompt when asked.
- Select Manage Billing to update card or bank details, view billing history, or cancel. Complete the MFA prompt when asked. Manage Billing opens the Stripe billing portal in a new tab — Stripe is MyApprentice’s PCI-compliant billing partner, so your card details are stored with Stripe, not with MyApprentice.
- Review the AI usage this month panel — Used calls, Included calls, and Remaining calls. AI calls cover Job To-Do’s, Shift To-Do’s, AI email drafts, and Supplier Invoice uploads. Your included allowance is 200 + 75 × active seats per month on a paid plan (60 on a trial); most actions cost 1 call and a supplier-invoice upload costs 3. Paid plans can go over at AUD $0.015/call, capped at AUD $49/month. See Using AI in MyApprentice.
Trial expiry
When your free trial ends, MyApprentice puts the whole business into read-only mode — every user can still open and see their data, but nobody can create or edit jobs, quotes, schedules, invoices, or settings. Only the Business Owner (or Sole Trader on a sole-trader plan) can restore access:
- Open Business Settings → Subscription tab.
- Select Manage Plan and complete the MFA prompt if asked.
- Subscribe to a paid plan.
The business returns to full access immediately after payment succeeds.
What happens next
Plan and billing changes take effect immediately. Included AI calls reset monthly. If your active users exceed your seat cap, MyApprentice blocks the app with a non-dismissible overlay until you delete a user or add seats.
