Overview
The quote and invoice logo appears at the top of every quote PDF and invoice PDF you send. It is uploaded once on the Sales tab and applies to every document going forward. A correct logo keeps your quotes and invoices looking professional and consistent.
Who This Workflow Is For
The Admin role. The Business Owner can also upload the logo. Supervisor, Tradie, and Apprentice do not have Business Settings access. Finance is scoped to Xero-related settings only.
Before You Start
Have a logo file ready in a common image format (PNG with a transparent background works well). A high-resolution version produces the cleanest PDF.
Step-by-Step Process
- In the left sidebar under ADMIN, select Business Settings.
- Open the Sales tab.
- In the Quote & invoice logo section, select Add file.
- Browse to your logo file, select it, and select Open.
- Confirm the preview shows the logo correctly. Replace the file if it does not.
- Select Save to apply the logo to all quote and invoice templates.
What Happens Next
The next quote PDF and invoice PDF you generate include your logo at the top. Documents already produced keep whatever logo they had at the time — generate a fresh PDF if you need the new logo on an existing document.
If you also want to change the in-app sidebar or phone-browser logo your team sees inside MyApprentice, switch to the Site tab.
Common Issues
- Logo too big or distorted on the PDF. Re-upload a higher-resolution version, ideally with the longest edge around 1000 px and a transparent background.
- Old logo still on a sent invoice. Sent documents keep the branding they had at the time of sending. Generate a new PDF to refresh.
- Upload fails. Confirm the file is a standard image format (PNG or JPG) and not unusually large. Try a different browser if it still fails.
- No logo yet. Quotes and invoices still send without a logo — business details, payment terms, and totals all print regardless.
