Overview
Your business profile is the source of all the details that appear on every quote, invoice, and client email you send. The Business Name, contact details, ABN, and any licences you hold are saved on the Business tab in Business Settings and flow through to every customer-facing document. Complete the profile before you invite team members or send your first quote so that everything goes out branded correctly.
Who This Workflow Is For
The Business Owner. Admin users can also complete the business profile on your behalf. Supervisor, Finance, Tradie, and Apprentice roles do not access Business Settings.
Before You Start
Have your business details to hand — Business Name, contact email, phone, full business address, ABN, and any licences or qualifications you hold (licence type, licence number, and expiry date for each). The first time you set the profile up, doing it in one pass is fastest.
Step-by-Step Process
- In the left sidebar under ADMIN, select Business Settings. The Business Settings page opens.
- Confirm you are on the Business tab — it is the first tab in Settings.
- Enter your Business Name. This appears on all quotes, invoices, and emails sent to clients.
- Set your Timezone. This controls every date and time displayed across MyApprentice and should match where the business operates.
- Enter your Contact Email. This is the reply-to address on outbound communications.
- Enter your Phone number.
- Enter your full Business Address.
- Enter your ABN — the 11-digit Australian Business Number issued by the ATO.
- Scroll to the Licences / Qualifications section.
- Select Add licence, then enter the licence type, licence number, and expiry date. Repeat Add licence for each licence held by the business. These records are used for compliance and can be attached to job documentation.
- Select Save to apply all changes.
What Happens Next
Your business details now flow onto every quote, invoice, and email MyApprentice sends. From here you typically:
- Upload your quote and invoice logo so PDFs are fully branded.
- Set payment methods and terms so clients know how and when to pay.
- Configure business settings to turn features on or off.
- Invite a team member once the basics are in place.
Common Issues
- Quotes or invoices show the wrong details. Re-open Business Settings, update the field on the Business tab, and select Save. New documents pick up the change immediately. Documents that were already sent show the details they had at the time of sending.
- ABN error. The ABN field expects 11 digits with no spaces. Re-enter the number if MyApprentice flags it as invalid.
- Cannot find Business Settings. Business Settings sits in the left sidebar under the ADMIN heading and is available to Business Owner and Admin users. Supervisors, Tradies, Apprentices, and Finance users do not see it (Finance sees Xero-related settings only).
- Licence expiry passed. Update the expiry date on the licence row when the renewal comes through. Keep the licence list current — outdated details can delay client approvals and payment.
