Overview
Before you head out, open the shift card and do a pre-arrival review — confirm the client, the location, the work scope (Job description and Job To-Do’s), the day’s tasks (Shift To-Do’s), any internal notes (lockbox codes, pets, access instructions), and any materials you need. A two-minute pre-arrival review saves wasted drives and missed parts.
Who This Workflow Is For
The Tradie role. Apprentices follow the same pre-arrival routine on their assigned shifts.
Before You Start
You need a shift assigned to you for today, visible on the Dashboard schedule stream.
Step-by-Step Process
- Open the Dashboard and find today’s shift in the schedule stream.
- Select the shift to open the shift card.
- Review the client and location section:
- Client name and contact details.
- Site address — open the map link where supported to confirm the route.
- Phone number to call if access is unclear.
- Review the Job linked to the shift:
- Job description — the scope of work.
- Job To-Do’s — whole-job tasks.
- Internal job notes — lockbox codes, pets, access via side gate, customer preferences.
- Materials listed against the job — confirm you have what you need.
- Review the Shift To-Do’s — the visit-specific tasks for today.
- Check shift notes for anything the office or a previous worker has left.
- (Optional) Open any photos uploaded against the job for site context.
- Confirm your van/truck has the parts and materials needed.
What Happens Next
You arrive on site prepared. From there, Clock in when you start work, and work through the Shift To-Do checklist — see Complete the Shift To-Do checklist.
Common Issues
- Site address unclear. Use the map link where supported. Call the client number on the shift card if access is uncertain.
- Internal note seems missing. Internal notes appear on the job card (not the shift card itself). The shift card cross-references the job.
- Materials not in the van. Pick them up from the workshop or supplier before heading to site. Tell your Supervisor if a material is missing.
- Job To-Do’s and Shift To-Do’s look the same. Job To-Do’s cover the whole job; Shift To-Do’s are for this visit specifically.
