Business Owners and Sole Traders. Admin users have full Business Settings access. Finance is limited to Xero-related settings only.
Overview
Set the Site tab — timesheet entry mode, feature availability toggles, default to-do templates, and the public enquiry form toggle — so MyApprentice behaves the way your business operates.
Before you start
Complete your business profile first. Decide which features you want on (such as Inventory, Client Portal, Public Enquiry Form) and whether your team will record time as Hours or Start and end times.
Steps
- Open Business Settings → Site tab.
- Set the timesheet entry mode — Hours, or Start and end times.
- Use Feature availability toggles to switch modules on or off. Changes apply immediately and are non-destructive — disabling a feature only hides it.
- Under Default Job To-Do’s and Shift To-Do’s templates, select Add, name the template, then Add task for each task. Templates can later be applied to jobs and shifts in one step.
- Confirm the public enquiry form toggle is set the way you want it. If the toggle is on, the form’s public URL appears beneath it — select Copy URL to copy the link. Paste it on your website, in social posts, or in an email signature so customers can submit enquiries straight into MyApprentice.
- Confirm the Client Portal toggle is set the way you want it.
- Select Save site.
Each Business Settings tab has its own save button — Site uses Save site; Sales uses Save all settings; Business uses Save.
What happens next
Feature toggle changes take effect immediately for every team member. Default to-do templates appear when adding Job To-Do’s or Shift To-Do’s to new jobs and shifts.
