Overview
The business profile holds the details that appear on every quote, invoice, and client email — Business Name, contact details, ABN, and licences. As an Admin you can complete or update the profile on behalf of the Business Owner. Get it right up front so quotes and invoices go out branded correctly.
Who This Workflow Is For
The Admin role. The Business Owner can also complete the business profile. Supervisor, Finance, Tradie, and Apprentice roles do not access the Business tab of Business Settings.
Before You Start
Have the business details ready — Business Name, contact email, phone, full business address, ABN (Australian Business Number), and any licences or qualifications (licence type, number, expiry date).
Step-by-Step Process
- In the left sidebar under ADMIN, select Business Settings.
- Confirm you are on the Business tab (the first tab).
- Enter your Business Name. This appears on all quotes, invoices, and emails sent to clients.
- Set the Timezone — controls every date and time displayed across MyApprentice.
- Enter the Contact Email — the reply-to address on outbound communications.
- Enter the Phone number.
- Enter the full Business Address.
- Enter the ABN — the 11-digit identifier issued by the ATO.
- Scroll to Licences / Qualifications, select Add licence, and enter the licence type, number, and expiry date. Repeat Add licence for each licence held.
- Select Save to apply all changes.
What Happens Next
These details flow onto every quote, invoice, and email MyApprentice sends. From here you typically:
- Upload the quote and invoice logo.
- Set payment methods and terms.
- Configure business settings.
- Invite a team member.
Common Issues
- Quotes or invoices show the wrong details. Re-open Business Settings → Business, fix the field, and save. New documents pick up the change immediately; documents already sent keep the details they had at the time.
- ABN error. Re-enter the 11-digit ABN with no spaces.
- Cannot see Business Settings. Business Settings is available to Business Owner and Admin. Supervisor, Tradie, Apprentice, and Finance do not see it (Finance sees Xero-related settings only).
- Licence expired. Update the expiry date on the licence row when the renewal comes through.
